Overview / Job Description

The VA Group is seeking a Client Systems Architect to help clients translate operational challenges into structured, AI-powered workflows using Mavis.

This is a highly client-facing role combining AI prompting, business process design, client consulting, relationship management, and AI system optimization. The position is focused on understanding how clients work, identifying opportunities for automation, and translating their needs into clear logical workflows and AI instructions.

The ideal candidate is a strong communicator who can work comfortably with both business executives and advanced AI models. Rather than requiring backend programming, the role emphasizes strategic thinking, logic extraction, prompt engineering, client education, and relationship building.

Responsibilities

Client Consultation & Logic Extraction

  • Conduct in-depth client consultations to understand operational challenges
  • Identify client decision-making processes and translate them into structured logic
  • Define Trigger → Logic → Output decision matrices
  • Identify opportunities where AI can improve business processes
  • Translate client pain points into practical AI-powered solutions
  • Ensure clients feel supported throughout the technical transition

Client Relationship Management

  • Act as a trusted strategic consultant for clients
  • Build strong, long-term client relationships
  • Develop deep rapport with key stakeholders
  • Anticipate client needs and operational challenges
  • Align Mavis capabilities with clients’ long-term business objectives
  • Maintain strong client satisfaction and engagement

AI Prompt Engineering

  • Write complex system instructions and system prompts for Mavis
  • Test and refine prompts based on system performance
  • Ensure AI follows required brand voice and formatting standards
  • Define operational rules and business logic for AI systems
  • Continuously optimize AI instructions based on client requirements

Logic Blueprint & Client Education

  • Create structured Logic Blueprints for client review and approval
  • Explain AI workflows and system behavior to non-technical stakeholders
  • Clearly communicate the reasoning behind AI outputs
  • Translate complex AI concepts into simple business-value language
  • Obtain client feedback and incorporate approved changes

AI Optimization & Client Success

  • Review client feedback on a regular basis
  • Refine Mavis’s capabilities based on client needs
  • Improve AI performance and workflow accuracy
  • Ensure AI systems evolve alongside changing client requirements
  • Support long-term client retention and satisfaction

Requirements

Experience

  • 1–2+ years of heavy experience working with LLMs
  • Strong practical experience with AI prompting
  • Experience with platforms such as Claude, GPT-4, or Gemini
  • Experience creating and refining AI instructions
  • Experience working with business processes or workflow automation
  • Experience with CRM software
  • Strong client-facing or consulting experience preferred

Technical Requirements

  • USB headset with noise cancellation
  • Working webcam
  • Primary computer with at least i5–i7 processor and 8GB RAM
  • Backup computer with at least i5–i7 processor and 8GB RAM
  • Main wired internet connection with minimum 25 Mbps
  • Backup internet connection with minimum 10 Mbps

Technical Environment

  • No backend or API coding required
  • Must be comfortable with CRM software
  • Must understand logical workflow structures
  • Must be comfortable working with AI and LLM platforms

Schedule

  • 8-hour shift
