Overview / Job Description

Our client is a growing multi-location medical aesthetics company operating across several U.S. states, focused on delivering high-quality treatments while improving operational efficiency through technology and process optimization. As the organization scales, it is investing heavily in AI-driven systems, automation, and data infrastructure to reduce manual work and improve cross-department visibility.

The AI Automation Specialist will be responsible for designing, building, and optimizing AI-powered workflows and automation systems across the organization. This role is highly technical and cross-functional, requiring both strategic systems thinking and hands-on execution to implement scalable automation solutions that improve efficiency and business performance.

Location

  • Fully remote
  • Working hours: 9 AM – 5 PM EST

Responsibilities

AI Agents & Workflow Development

  • Design and deploy AI-powered agents for internal operations and customer-facing use cases
  • Build and optimize workflows using OpenAI, Claude APIs, and related AI tools
  • Continuously improve AI agent performance based on operational feedback and business needs
  • Translate business requirements into functional AI-driven systems

Process Automation & Systems Integration

  • Identify repetitive operational workflows across departments and automate them
  • Integrate systems including CRMs, scheduling tools, reporting platforms, and operational software
  • Build scalable automations using tools such as Make, Zapier, or n8n
  • Utilize APIs and webhooks to ensure reliable system-to-system communication
  • Improve operational efficiency through end-to-end workflow optimization

Reporting & Data Infrastructure

  • Develop automated reporting systems and dashboards for key business metrics
  • Ensure accurate and real-time data synchronization across platforms
  • Improve visibility into performance across locations, services, and departments
  • Support leadership with actionable data insights through automated systems

Strategic Implementation & Optimization

  • Work directly with leadership to prioritize automation and AI initiatives
  • Develop and execute a long-term (6–12 month) automation roadmap
  • Continuously evaluate and implement emerging AI technologies
  • Identify operational inefficiencies and propose scalable solutions
  • Lead end-to-end execution of automation projects from concept to deployment

Requirements

Experience

  • 3–6+ years of experience in automation, systems integration, or technical operations roles
  • Hands-on experience with automation tools such as Make, Zapier, or n8n
  • Experience working with AI APIs such as OpenAI and Claude
  • Experience integrating CRM systems and operational platforms
  • Background in building scalable workflows or internal tools is required

Skills & Competencies

  • Strong understanding of APIs, webhooks, and system architecture
  • Familiarity with tools such as Airtable, Notion, or similar platforms
  • Basic knowledge of Python or JavaScript (preferred)
  • Strong systems-thinking and problem-solving ability
  • Ability to independently own technical projects end-to-end
  • Detail-oriented with a focus on reliability and scalability
  • Strong communication skills with ability to simplify technical concepts
  • Adaptability to rapidly evolving AI and automation technologies
