HostPapa is seeking an experienced Email Manager to lead the operational and strategic management of its email infrastructure and mail operations function. Reporting directly to the Director of Mail Infrastructure, this role will oversee platform reliability, deliverability, operational scalability, and incident management within a high-volume email ecosystem.

The Email Manager will supervise a team of email operations specialists while collaborating across engineering, security, support, and account management teams to maintain a secure, scalable, and high-performing email platform.

Responsibilities:

Team Leadership & Management

  • Lead, mentor, and develop a team of email operations and deliverability specialists
  • Manage team priorities, performance, and ongoing professional development
  • Promote operational excellence and process improvement initiatives

Email Infrastructure & Platform Management

  • Oversee the administration and maintenance of email infrastructure and mail operations
  • Manage MTAs, authentication protocols (SPF, DKIM, DMARC), DNS configurations, and filtering systems
  • Ensure platform reliability, scalability, and continuous operational improvements

Monitoring & Deliverability Optimization

  • Monitor platform health, sender reputation, inbox placement, and deliverability metrics
  • Troubleshoot complex mail delivery and infrastructure-related issues proactively
  • Identify opportunities for tooling, automation, and operational efficiency improvements

Incident Management & Escalation Handling

  • Serve as the primary point of contact for customer and internal email-related escalations
  • Coordinate with Support, Engineering, Security, and Account Management teams to resolve issues efficiently
  • Lead incident response efforts during outages or degraded delivery events
  • Maintain escalation procedures, SLAs, and communication standards

Compliance & Security

  • Ensure compliance with email-related regulations and industry standards, including CAN-SPAM, CASL, GDPR, and anti-spam protections
  • Support phishing prevention, spoofing protection, and email security best practices
  • Stay informed on emerging threats and evolving email infrastructure standards

Reporting & Strategic Planning

  • Provide operational reports and strategic recommendations to the Director of Mail Infrastructure
  • Support long-term scalability and infrastructure optimization initiatives
  • Contribute to additional projects and business needs as required

Requirements: 

Experience

  • Minimum of 4 years of experience in email operations, deliverability, or mail infrastructure environments
  • 1–2+ years of leadership or people management experience
  • Experience managing escalations in enterprise or SaaS environments
  • Experience working in high-volume or transactional email environments is highly valued

Technical Knowledge

  • Strong understanding of email protocols including SMTP, IMAP, POP3, and MIME
  • Hands-on experience implementing and troubleshooting SPF, DKIM, and DMARC
  • Familiarity with MTAs such as Postfix, Sendmail, or Exim
  • Knowledge of DNS management related to email routing and authentication
  • Familiarity with observability and monitoring platforms such as Grafana or Datadog is beneficial
  • Understanding of phishing prevention, spoofing protection, and email security best practices
