Overview / Job Description

Hire Overseas is seeking a highly capable Executive Assistant to serve as a strategic operational partner to a senior investor and entrepreneur managing multiple investments, ventures, and global relationships. This role goes far beyond traditional executive support and functions as a force multiplier that enables faster decision-making, stronger execution, and structured management of complex initiatives.

The ideal candidate is highly organized, systems-oriented, and comfortable operating across multiple parallel workstreams. You will be responsible for turning conversations, ideas, and relationships into structured systems, tracked workflows, and actionable execution plans.

This role is fully remote and designed for someone who thrives in fast-moving, high-trust environments requiring discretion, judgment, and strong operational discipline.

Responsibilities:

Executive Scheduling & Calendar Management

  • Manage complex calendars across multiple time zones
  • Prioritize meetings based on strategic value and urgency
  • Prepare structured daily and weekly briefs for leadership
  • Coordinate domestic and international travel logistics

Relationship Intelligence & CRM Management

  • Maintain and update a structured CRM of investors, founders, advisors, and operators
  • Capture meeting notes, insights, and strategic context
  • Track introductions, follow-ups, and relationship progress
  • Build structured mapping of relationships across sectors and geographies

Investment & Deal Coordination

  • Track investment pipelines, including deal flow and co-invest opportunities
  • Maintain dashboards for diligence progress and allocation tracking
  • Organize investment materials and supporting documentation
  • Prepare briefing documents for investor and partner meetings

Strategic Projects & Execution Support

  • Track timelines and execution of venture and investment initiatives
  • Coordinate cross-functional tasks to move projects from idea to execution
  • Conduct research on markets, companies, and strategic themes
  • Ensure consistent progress across multiple active workstreams

Events & Network Coordination

  • Organize investor dinners, private events, and curated gatherings
  • Manage guest lists, invitations, venues, and logistics
  • Support conference participation and speaking engagements
  • Track post-event follow-ups and relationship engagement

Selective Personal Support

  • Assist with occasional personal scheduling and logistics
  • Support travel planning and select family-related coordination when required

Requirements:

Experience

  • 4–8+ years of experience supporting executives, founders, investors, or senior leadership
  • Experience operating in high-trust, high-discretion environments
  • Background in operations, consulting, finance, strategy, or executive support is beneficial

Skills & Competencies

  • Strong organizational and systems-thinking ability
  • Proven experience managing calendars, CRM systems, and project workflows
  • Ability to synthesize complex information into structured outputs
  • Excellent written and verbal communication skills
  • Strong ability to work independently with minimal supervision
