Overview / Job Description

Sagan Recruitment is seeking a Legal Operations Coordinator to support a U.S.-based law firm. This fully remote role provides administrative and operational support to three attorneys, ensuring they remain organized, meet deadlines, and stay focused on high-priority responsibilities.

The ideal candidate is highly organized, proactive, and detail-oriented, with excellent communication skills and the ability to anticipate needs, manage competing priorities, and maintain strict confidentiality while supporting busy legal professionals.

Responsibilities

Executive & Legal Administrative Support

  • Provide daily administrative and operational support to three attorneys
  • Manage calendars, appointments, meetings, and scheduling priorities
  • Coordinate multiple calendars and resolve scheduling conflicts
  • Prepare meeting agendas, supporting documents, and follow-up items
  • Perform additional administrative and operational tasks as needed

Task & Deadline Management

  • Monitor deadlines, action items, commitments, and outstanding requests
  • Track delegated tasks and provide regular status updates
  • Follow up proactively with attorneys, clients, and stakeholders
  • Anticipate attorney needs and provide timely reminders
  • Help prioritize competing requests and ensure critical tasks remain on schedule
  • Identify potential delays or missing information and escalate issues when necessary

Documentation & Communication

  • Draft, proofread, and organize professional emails and business correspondence
  • Maintain organized electronic files, records, and internal documentation
  • Ensure accurate record-keeping and document organization
  • Maintain strict confidentiality when handling legal, business, and client information

Process Improvement & Operations

  • Help improve administrative workflows and internal organizational processes
  • Create and maintain efficient tracking systems where appropriate
  • Support operational efficiency by ensuring consistent follow-through on responsibilities

Requirements

Experience

  • Previous experience supporting multiple attorneys, executives, or senior leaders
  • Experience providing executive, legal, or administrative support
  • Experience working in fast-paced professional environments
  • Previous law firm or legal environment experience preferred but not required

Skills & Competencies

  • Exceptional written and spoken English communication skills
  • Strong attention to detail and accuracy
  • Excellent organizational, time management, and prioritization skills
  • Ability to manage multiple competing priorities
  • Strong follow-through and accountability
  • Confidence managing up and following up with senior professionals
  • Ability to anticipate needs and work proactively with minimal supervision
  • High level of judgment, discretion, and confidentiality
  • Ability to work independently and collaboratively in a remote environment
  • Proficiency with Microsoft Office, Google Workspace, Zoom, and calendar management tools

Preferred Experience

  • Experience supporting multiple attorneys simultaneously
  • Familiarity with legal terminology, documentation, and administrative procedures
  • Experience improving workflows and creating tracking systems
  • Experience using legal practice management or document management software
