Overview / Job Description

20four7VA is seeking a Logistics & Inventory Management Virtual Assistant to support a growing e-commerce company specializing in diving and water sports equipment.

This role focuses exclusively on backend logistics, inventory management, shipment tracking, import coordination, and operational support. The successful candidate will be responsible for monitoring inventory levels, managing inbound shipments, coordinating with logistics partners, maintaining purchase orders, and improving operational visibility across the supply chain.

The company utilizes platforms such as Shopify, ShipBob, and Settle to manage inventory and fulfillment operations. The primary objective of the role is to streamline logistics processes, improve inventory accuracy, and remove day-to-day operational responsibilities from business ownership.

This is not a customer service position and does not involve customer support responsibilities.

Responsibilities

Inventory Management

• Monitor inventory levels across Shopify and ShipBob
• Track stock quantities and identify products approaching reorder points
• Support inventory forecasting and replenishment planning
• Maintain accurate inventory records and reporting systems
• Assist with inventory reconciliation and stock verification activities
• Ensure inventory data remains accurate across platforms

Import & Shipment Coordination

• Track inbound shipments from overseas suppliers, particularly from Asia
• Monitor Bills of Lading (BOLs), shipping schedules, and delivery timelines
• Maintain visibility into inbound inventory and estimated arrival dates
• Coordinate with customs brokers, freight forwarders, and logistics providers
• Follow up on shipment delays, exceptions, and documentation issues
• Ensure smooth movement of goods through the supply chain

Purchase Order & Logistics Administration

• Create and manage purchase orders within Settle
• Maintain accurate shipment and logistics records
• Support inbound shipment creation and receiving workflows
• Organize import and logistics documentation
• Track purchase order status and fulfillment progress

Reporting & Inventory Planning

• Create and maintain inventory tracking spreadsheets
• Generate inventory and logistics performance reports
• Assist with demand forecasting and inventory planning initiatives
• Provide operational insights to support business decisions
• Monitor inventory trends and identify potential stock risks

Systems & Workflow Management

• Work within Shopify, ShipBob, Settle, and related operational platforms
• Maintain accurate records and data integrity across systems
• Support logistics-related administrative processes
• Assist in optimizing workflows and operational efficiency
• Identify opportunities for process improvements and automation

Requirements

Experience

• Experience in inventory management, logistics coordination, supply chain support, or e-commerce operations
• Experience working with inventory tracking and fulfillment processes
• Familiarity with international shipping, imports, or freight coordination preferred
• Experience with third-party logistics (3PL) providers is advantageous
• Experience managing purchase orders and inventory forecasting is a plus

Other Information

Work Schedule

• Contracted Hours: 10 hours per week
• Working Days: Monday through Friday
• Working Hours: 10:00 AM – 12:00 PM EST
• Fully remote independent contractor role
