Operations manager

About TaxDome

At TaxDome, we’re building the #1 practice management platform for accounting firms in the US and globally. Founded in 2017, we’ve grown into a 400+ fully remote team across 40+ countries, serving tens of thousands of businesses worldwide with millions of end clients.

How we work

You’ll be part of a globally distributed teambuilt on trust, ownership, and self-management.

We focus on outcomes over activity — prioritizing clear ownership, pragmatic decision-making, and accountability for results over rigid processes. Collaboration is central to how we operate: we communicate openly, involve the right people early, and continuously improve how we build products and teams together.

About this role

We are looking for a senior Operations Manager to join the Operations team at TaxDome. This is a hands-on, execution-focused role — you’ll be the person who makes cross-functional programs actually happen, runs change rollouts, and keeps operational processes moving across departments.

You’ll report to the Director of Operations and work across Product, Sales, HR, Finance, and Legal. This requires someone senior enough to navigate complex stakeholder dynamics independently, but whose energy goes toward implementation rather than strategy.

What you’ll be responsible for

Program Management & Cross-Functional Execution

  • Run operational programs end-to-end: build project plans, coordinate across departments, track milestones, manage dependencies, and drive to completion.
  • Plan and execute change rollouts for new processes, tools, and policies — managing stakeholder communication, training, and adoption tracking.
  • Monitor adoption post-launch, run feedback loops, and ensure changes stick.
  • Maintain project governance standards: briefs, status updates, decision logs, and retrospectives.

Process Design & Documentation

  • Design and implement operational processes that work across departments — intake workflows, escalation paths, handoff procedures.
  • Build and maintain SOPs, documentation standards, and knowledge-sharing practices.
  • Continuously improve existing processes based on feedback and operational data.

AI Adoption & Enablement

  • Support pilot programs for new AI tools: coordinate participants, collect feedback, track outcomes, and prepare findings for decision-makers.
  • Work with department leads to identify where AI adoption is gaining traction and where it needs support.
  • Maintain documentation around approved AI tools, usage guidelines, and rollout status.

What you bring

Must-have

  • 5+ years in operations, program management, or a similar cross-functional role in a tech or SaaS company.
  • Strong track record of executing complex, multi-department programs — not just planning them, but driving them to completion across teams you don’t directly control.
  • Hands-on change management experience: you’ve planned rollouts, managed communications, tracked adoption, and handled resistance.
  • Excellent organizational skills and project management discipline. You naturally scope before executing and track through to completion.
  • Strong stakeholder coordination skills — comfortable working with senior leaders and keeping multiple workstreams on track.
  • Fluent English — written and verbal. The role involves real-time coordination, meeting facilitation, and clear written communication.
  • Comfortable working with AI tools in a professional context — you actively use them, understand their practical value, and can help others adopt them.

Nice-to-have

  • Experience coordinating AI or automation adoption programs across a company or department.
  • Background in building operational processes from scratch in a scaling company (100–500 employees).
  • Experience with SaaS tool governance: vendor evaluations, license management, renewal tracking.
  • Exposure to BI tools (Tableau, Metabase, PowerBI).

What we offer

At TaxDome, we aim to create an environment where people can do their best work and grow alongside the company.

  • Competitive compensation, paid in USD
  • Fully remote work with flexible hours
  • 30 paid days off annually, plus sick days as needed
  • Health & well-being support
  • Learning & development budget to support your professional growth
  • English lessons reimbursement
  • Co-working space reimbursement
  • Company-provided equipment (conditions may vary depending on the role)
  • A high level of autonomy and ownership in your work
  • The opportunity to make a real impact in a fast-growing global SaaS company
  • A collaborative, international team with a strong product mindset
